Portal Interface

End users handle workflow actions with a full web-based interface. This portal is customized on the fly depending on the user's rights, permissions and preferences. It can also be integrated into existing corporate portals (iManage Worksite Web or Microsoft Sharepoint) through built-in portlets.

The user can easily:

  • Initiate a new request
  • Monitor his ongoing requests (includes a graphical view of the processing circuit)
  • Perform an action if it has been assigned to him (validation, form filling, commenting and more) and/or forward the eForm.
  • Search information on recent, closed or archived requests
  • Create and save customized views for search results and statisitics
  • Delegate actions to a colleague (before they go on that vacation!)
  • Switch between system-wide and single-process views

 

Real time follow-up and alerts

Users participating in a workflow get real-time notification of progress during the course of the process. The e-mails they receive can be fully customized to advise them of actions assigned to them, actions they are requested to assign to someone else, requests that have been closed, overdue or cancelled actions, etc. In addition, they can access the portal and check the status of their requests via a comprehensive, real-time audit trail.

 

Statistics and Reporting

Built-in dashboards provide supervisors and administrators with real-time graphical views of workflows (total number of processes, process most used by a given user, delayed actions, average processing time, and more).  For further data manipulation and analysis, WorkflowGen enables export of data to dedicated Business Intelligence tools (Crystal Reports, Business Objects, Cognos, etc).

 

Administration and design

WorkflowGen offers a full-web based tool to design and monitor workflows (available in 5 languages). Administrators benefit from a graphical designer to literally draw the processes they want to implement. Those processes are then stored and can be shared with other users or workflow software thanks to the use of the XPDL standard (XML Process Definition Language). WorkflowGen features an advanced versioning system allowing non-stop service, even in case of process upgrades.

Administrators can finely manage the users and groups participating in the process, possibly synchronizing information with existing directories (Active Directory, LDAP, etc). Detailed information about on-going or closed requests can be easily monitored thanks to graphical built-in scoreboards, or sent to Business Intelligence tools for advanced statistics and reporting.

 

Security
  • User authentication is fully secured and can be based on Active Directory, SSO systems or Databases.
  • SSL support enables access from anywhere (extranet).
  • Form contents can also be secured thanks to support of electronic signatures in Web Forms (via the XML signature standard) and in PDF forms.
  • Process participants can be managed by using the users and groups synchronized with the current directory (AD, LDAP, etc).
  • It is also possible to create virtual groups by querying the directory.
  • Timeout and logout can be activated and customized.
